The Sales Coordinator serves as the central point of contact for the machine and attachment order process, acting as a liaison between customers, sales, production, procurement, and planning. This role ensures a seamless order lifecycle—from initial request to final delivery—while maintaining control over information flow, setting clear expectations, and reinforcing structured processes.

The ideal candidate is a self-starter, highly motivated, and has the confidence to stand firm in enforcing proper procedures despite multiple competing inputs. With strong customer service and communication skills, they will effectively manage expectations and ensure alignment across all teams.

Key Responsibilities

  • Order Management: Oversee the full lifecycle of machine and attachment orders, from receipt through manufacturing allocation to final shipment.

  • Process Control: Ensure adherence to established processes despite external pressures or ad-hoc requests. Serve as the gatekeeper for order-related information.

  • Customer Communication: Provide accurate updates on order status, availability, and specifications, ensuring realistic commitments are made and upheld.

  • Cross-Functional Coordination: Act as the primary liaison between sales, production, procurement, and planning, ensuring smooth workflow and information consistency.

  • Issue Resolution: Address and resolve conflicts, including last-minute delays or scheduling disruptions, while maintaining customer trust.

  • Warehouse & Customs Support: Assist with customs paperwork and coordinate invoicing with the team handling export processes.

  • System & Data Management: Track orders in Excel and Syteline. Manage email inbox for purchase order submissions and modifications.

  • Shop Floor Integration: Spend 1-2 weeks on the shop floor learning about machine builds and working closely with production teams.

Qualifications & Requirements

  • 1-2 years of customer support or inside sales experience in an industrial or machinery-related business.

  • Strong communication and customer service skills—this is a highly visible, outward-facing role.

  • Proficient in Microsoft Office (Excel), with experience in Syteline preferred but not required.

  • Ability to manage competing priorities and push back when necessary to maintain process integrity.

  • Highly organized, detail-oriented, and proactive in identifying and resolving issues.

  • Emotional intelligence and problem-solving skills to navigate complex interactions with customers, sales, and shop floor teams.
